ERP (Enterprise Resource Planning).
An ERP (enterprise resource planning) system is business software that brings core business processes together on a shared database: purchasing, stock, sales, production, project billing, financial accounting and HR. It is the operational backbone of many businesses.
ERP (Enterprise Resource Planning) — Explained in Detail
Without an ERP, every department works in its own tool and data is copied between systems. An ERP system ensures that a piece of information is captured only once: an order reserves material in stock, triggers a purchase order if needed, generates an invoice after delivery and posts it in the financial accounts. Every step builds on the same data.
In the Swiss SME market, alongside international vendors such as SAP and Microsoft Dynamics, Swiss solutions are especially widespread — Abacus, Bexio or industry ERPs for trades, construction and retail, for example. Swiss specifics such as VAT returns, the QR-bill, payroll with social insurance contributions and multilingual operation are usually built in — an important reason why foreign standard solutions often need to be adapted.
An ERP covers standard processes well, but rarely everything. Typical gaps arise in industry-specific workflows, field service, customer contact and the website. Instead of bending the ERP with expensive customisations, it often makes more sense to connect it through interfaces to specialised applications: an app for fitters, a customer portal, an online shop. The ERP remains the central data source, and the specialised applications serve the people.
ERP introductions are among the riskiest IT projects a company undertakes, because they touch every workflow. Good projects begin with a clear description of requirements — a requirements specification — plan data migration early and switch operations over step by step.
Example: connecting an ERP and a trades app
Suppose an electrical installation business manages orders, materials and invoices in a Swiss ERP. The fitters, however, record working time and materials on paper, which is typed up in the office. A mobile web app shows the fitters their jobs, records times, materials and photos on site, and transfers everything through the interface directly into the order in the ERP. The office checks and invoices.
The ERP stays unchanged, and the gap is closed with a lean application. What such a solution looks like is shown under software for trades; what custom builds cost is covered in software costs in Switzerland.

Accounting software covers financial accounting, invoicing and often payroll. An ERP additionally covers purchasing, stock, production, projects and sales on a shared database. For small service providers an accounting solution is often enough; for retail and manufacturing an ERP is usually needed.
When stock, purchasing, orders and accounting are closely linked and data is currently entered more than once. Typical signs are errors from re-typing, a lack of overview of stock levels or projects, and a lot of time spent on manual reconciliation.
Yes, if the ERP offers an interface (API). Apps, customer portals or online shops can then be connected without rebuilding the ERP itself. Before buying an ERP, it is therefore worth checking the quality of its interfaces.
